Meeting of October 12, 2015

Meeting to Order was called by Dave Taylor at 7:08.

A motion to approve the September minutes was made by Martha Larson seconded by Ted Tingley.  The motion passed.    

 

Treasurer Report – Martha Larson

2 Households paid in September.  Bill Heap was paid for the burn pile road maintence. 

Normal expenses: $12.14 Ameren

Balance of: 7600.60

Playground Donations to date – $979

 

Treasurer’s report was approved on a motion by Jason Mills seconded by Marilyn Hopper.

 

Sewer Committee Report – Dave Taylor

Not too much to report.  We are getting reports and bills are getting paid.  Next meeting we may start talking about if a raise in sewer fees is necessary.  A new electrical box that controls the pumps is going to be replaced.    

Income: $720 (Dues paid in September)

Expenses: $1115.77

Balance of: $7256.02

                 

Sewer’s report was approved on a motion Ted Tingley by seconded by Martha Larson.

 

Burn Pile Committee –  No Report

There is currently a burn ban for West Central Illinois.  Until the ban is lifted there will be no burning. 

 

 

Old Business:

 

The basketball hoop has not arrived yet.  Dave will submit a receipt for reimbursement of the hoop and pole when it arrives.  He is going to take care of the concrete and labor. 

 

Playground donations have started to come in.  So far - $979 has been donated.  Thank you for your generosity!  The playground will add a safe play area for the children in the neighborhood.  Anyone wishing to contribute can send money to Holly Clauson, chair of the playground committee.  631 Meadow Dr., Macomb, IL 61455. 

 

Annual Picnic – We had great weather and wonderful company for the Annual Picnic.  More than 50 neighbors and friends were present.  Thank you to Emmet Chalmers Fire Department for leading our parade, volunteering time, and showing the children the firetruck. 

 

Discussion about putting a light up at the park was tabled until the November meeting. 

 

Please remember to keep pets close when they are outside.  Please respect neighbors and do not let pets run through yards and please remember to pick up after your pet.  Remember that not all people are pet lovers.  Continue to work with neighbors to resolve disputes. 

 

We need a couple of volunteers who are willing to weed and maintain the front entrance. 

 

New Business

 

Beautification Award - The committee will be around over the next few days to look for nominations for the Beautification Award.  If you would like to nominate a neighbor please send it to akidr2@gmail.com.

A motion to approve the March minutes was made by Holly Clausin seconded by Irina Andreeva.  The motion passed.

Dues are due as soon as possible.  Only 72 out of 113 houses are paid to date. 

Normal expenses: $12.30 Ameren

Emmet Chalmers Fire Department: $350

Two Households paid dues in February. 

Balance of: $7,783.34

Sewer Committee Report – Dave Taylor

A belt came off one of the blowers but we got that fixed.  We are scheduled on Tuesday to put the new control panel/lift station up front. 

Wednesday we are putting new piping in the lagoons.

Sludge bugs have been added to the lagoon.

Sewer’s report was approved on a motion Steve Knowles by seconded by Mary Therese Kessler.

 

Burn Pile Committee –

Steve has been going down and maintaining the pile when it is dry.  If people put items on the burn pile it can be burned and maintained well.  There were about 20 plastic bags full of leaves deposited at the burn pile.  Emmet-Chalmers fire department responded to a call of a fire that went up the hill of the burn pile area.  It did melt a cable box of one resident’s household. 

Thank you to Emmet-Chalmers for their quick response.  Emmet-Chalmers is always looking for volunteers. 

 

Remember no grass, no construction, no plastic, metal, or glass.

If conditions become unsafe due to road conditions and weather the burn pile may be closed.  Please use caution when traveling down the road. 

Only burn pile committee members are allowed to burn the pile.

Old Business:

 

Dave reports that the trees are planted around the lagoon. 

 

The basketball hoop is not ordered yet.  Dave is waiting on a good sale. 

 

We do have non-profit status but not a tax-exempt non-profit status.  The tax-exempt status was last applied for in 1984 and needs to be renewed yearly.  Without this status we cannot apply for grants.  This process would cost $1,000.  The board feels this money would be better to put into the playground.  Holly and Jason are going to research playgrounds and return next month with more concrete ideas and a price range.

Garage Sale – The annual garage sale is set for Saturday, May 9th

Please be aware of any suspicious activity around the neighborhood.  Please report concerns to the McDonough County Sheriff’s Department.

Upcoming expenses: A new electrical panel is going to be installed that will have an alarm if the pump quits.  Sludge bugs will also be purchased this month.

Dave reports our non-profit status is in good standing. 

 

Dave contacted the Hancock County Soil and Conservation department about white pine trees.  We can order 20 trees for $35.  
Sarah Williams made a motion to approve Dave purchasing the tree.  Irina Andreeva seconded the motion.  The motion passed.

 

Liability Insurance –

Our current policy is 500,000/1 million coverage.  If we increase the policy to $2 mil/$4mil liability the premium increases by $58 per year which would be divided between the association and the sewer.  If we have a playground the increase would be an additional $104 split between the association and the sewer.  Currently the sewer and the association each pay $325 per year for liability insurance.  Dave will contact the insurance company and increase the coverage at the $58/year rate.  If a playground gets installed this will be revisited. 

 

Dave found the best prices on basketball hoops at Wal-Mart.  The pole would be less than $300 and would be installed in the ground.  He is looking at a non-adjustable poles.  The old pole will be removed on the east side of the concrete. 

Marilyn motioned to have Dave purchase a basketball hoop and for Dave to install it at the common ground. 

Seconded by Sarah Williams.  The motion passed.
