Meadowbrook Community Association

Meeting of December 12, 2016

Meeting Call to Order by Dave Taylor 7:05 pm

 

Motion to approve the November meeting minutes was made by Nick Knowles and seconded by Mark McCaw.  The motion passed.

 

Treasurer Report-Deb Taylor

Beginning balance $5195.62

November Expenses:

Ameren- $13.71

Balance in account-  $5,181.91

 

Savings account balance is 945.51.  

 

November Treasurer report was approved on a motion by Nick Knowles , seconded by Bob Northcutt.

 

Sewer Committee Report-Dave Taylor

Everything is doing ok.  There finishing pond 

There was some standing water noted at the bottom of the hill.  A leak was found.  Allenhouse came out to look for the leak.  Dave dug 3 foot sections looking for the leak.  An animal was found in the tube blocking the water flow.  Tomorrow, Dave and Allenhouse are going to get a generator and going use an auger to push the blockage thru the tube.  If that doesn’t work, a section of the tube may need to be cut to remove the blockage.  

Our EPA reports have been doing well with the exception of the ammonia level is a little high.  

There are still 9 households who have not paid their sewer fees.

Sewers report and financial statement was approved on a motion by Nick Knowles, and seconded by Mark McCaw.

 

Burn pile - No committee member present.  Steve Knowles is still maintaining the burn pile.  We are seeking additional residents who are interested in being on the burn pile committee.  

 

Old Business:

 

David and Holly are looking into getting a grant for a basketball court.  We are also making plans to get the backstop replaced.  

Plans continue to provide lights to the playground area.

New Business: 

 

We are looking for new officers for the Meadowbrook board!  Please let your area rep know if you are interested.  For the 2017 year we will need a new president elect, secretary, association treasurer, Area 1 rep, Area 4 rep.  

 

We have seen and had reports that children are climbing on top of the play set and sitting on the top of the house area, as well as climbing on top of the swing set section.  Please talk to you children about safe play and provide supervision if needed.  

 

Dave Taylor would like to mow again for 2017.  Mark McCaw made a motion to retain Dave Taylor for mowing for 2017 at the same rate as 2016 ($2500).  The motion was seconded by Nick Knowles.  The motion passed.  

 

The next board meeting will be Sunday, January 8th at 6:30 pm at the Emmet-Chalmers Fire Station.  The Annual Meadowbrook Community meeting will follow at 7pm.

Everything is working well.  We have not had any bad reports.  All of the new systems in the lift stations are working well.  

There are still 7 households who have not paid their sewer fees.

Burn pile- No committee member present. The pile was burnt recently and there were some smoke complaints.  The burn pile committee tries to burn at times when people are at work and when the wind is blowing the right direction. The wind switched directions this last time!  Steve Knowles continues to burn the burn pile.

Playground Contribution – $731.93

Balance in account-  $5,608.84

We received an additional $126 towards the playground funding.  The association only had to contribute $731.93 towards the purchase.  Many children have been using the playground already and it has already provided a great gathering place for our families.

Sewer Committee Report-Dave Taylor

The sewer has been working well.  There are some outstanding fees to be collected.  We need all households to pay their sewer fees in order to keep the fees at the current rate.  Fees collected pay for electricity, EPA testing, and operating expenses.    Legal action will be taken for households who are delinquent in sewer fees.

David is still working on basketball hoop.

The picnic and parade went well.  The weather was beautiful and about 70 neighbors, family, and friends were in attendance.  Thank you again to the Emmet Chalmers Fire Department for volunteering their time to lead the parade.  Thank you to Bob Northcutt for cutting the brush around the basketball court so we could enjoy the area! 

 Congratulations to Bonnie and Skip Skripp!  They are the 2016 Meadowbrook Beautification Award winners! 

 President Dave Taylor thanks Bob Northcutt for helping with drainage concerns near the lagoon.

 Several four wheelers have been seen driving on the roads in the neighborhood.  Please remember, it is illegal to ride four wheelers on the road.  It is also not permitted to ride four wheelers on Meadowbrook property.  Improper use of these vehicles creates a liability to the community association.  

 We are looking for lighting options for the playground.  We are also looking to replace the backstop at the playground area.  The chain link looks good but the poles need replaced. 

 Next meeting will be held on Tuesday November 15th, at the Ratermann’s household – 224 Woodchuck Lane.

Everything seems to be working well.  The odor has been well controlled.  Dave says we are in great shape and reports from EPA are good. 

We have repaired a line break on Fawn Ridge.  Thank you to Jeff Lee for your help with this project.  Thank you to Jeremey Allen with Allenhouse for the prompt response to the line break and repair. 

Meadowbrook association maintains the main sewer lines in the neighborhood.

 David is still working on basketball hoop.

 Playground committee has received a total of $5374.  The rummage sale made about $760!  We are $2500 away from having a safe play area for our neighborhood children!

The Association would like to contribute up to $2500 to make this purchase and have the playground in place before the Annual Picnic!    We are seeking feedback and are sending a survey via email.  You can also contact any member of the board by Monday, August 15th.

Holly called the playground company and got updated prices on the set up and delivery and the cost of pea gravel.  The playground could be installed within 3 weeks. 

Holly contacted Ameren today to see about a security light pole.  It was going to start at $2000 to do this.  The board is going to look at other options for providing a light. 

Thank you Holly for all of the work you have put in to getting this project going!

 Beautification award voting will be going out soon!  Look for a survey monkey link to vote for your favorite!  The Beautification Award will be given at the annual picnic.

Sewer Committee Report-Dave Taylor

 

Everything seems to be working well.  Dave has started putting in the sludge bugs.  We have a couple of geese that have nests in the area.  

When the pumps were being cleaned out, towels were found.  Please do not flush towels into the sewer. 

No negative reports from our EPA tests.

Total feels collected in March $510

Expenses $4,155.44

 This includes a payment to Allenhouse for $2,575.83 for the replacement of the electric panel and the payment of $703 to Country Companies for liability insurance.  ($350 from the association, $350 from the sewer division)

Slug bugs are in and will be added to lagoons in next few weeks.
Fence around lagoons has been repaired, had to add steel posts to reinforce some of the original wood posts.
Have cleared better path for EPA inspectors for access to river, to take samples.
Electric panel at entrance has been replaced.
Continued maintenance is necessary to keep everything working and prevent having to make major repairs.  Everything else seems to be working.

December Treasurer’s report was approved on a motion by Marilyn Hopper seconded by Ted TIngley.

 

Sewer Committee Report – Dave Taylor

The new lift station panel is in.  It was good that this got done because there was a lot of wiring that was burnt and only one of the pumps had been working.  We have not received the bill for this work yet.  Both lift stations are now updated and have new mechanisms. 

EPA tests have come back ok.  We do have some fence that has fallen down at the sewer plant that will need repair.  Everything else seems to be running ok.

The next planned purchase will be a blower for the aeration lines.  Dave does not plan on purchasing this until the current one no longer works. 

Rootkiller - Roebic (copper sulfate) is ok to use if needed and it will not hurt the Meadowbrook Sewer. 

 

Sewer expenses for January: $1,125.48

Sewer fees paid in January: $5,035.00

Sewer balance: $7,923.42.

Balance of CD’s: $15,203.93

 

Sewer’s report was approved on a motion Martha Larson by seconded by Jason Mills.

 

Burn Pile Committee –  

We do not currently have someone in charge of the burn pile.  If you are interested in helping manage the burn pile please contact your area rep or any member of the board. 

 

Old Business:

The basketball hoop has been put on hold until nicer weather. 

 

We have received several more donations for the playground. 

 

Beautification Committee has been formed – Marilyn Hopper, Nick Knowles, and Andrea Ratermann.  Beautification nominations can be made until May 15th and the winner will be selected around June 1st

 

We are still looking for a member of the association to serve as the Area 4 Rep.

We need a couple of volunteers who are willing to weed and maintain the front entrance. 

 

New Business

Annual Garage Sale:  The annual garage sale is tentatively set for Saturday, June 4th.  We will confirm this date at the March meeting.

 

The board is considering doing a Rummage sale where the proceeds will be donated to the Playground fund. 

 

Fall Picnic:  The fall picnic is tentatively set for Sunday, September 25th.  We will confirm this date at the March meeting.

Meeting of January 10, 2016

Emmet Chalmers Fire Station

 

Present at the Meeting: President Dave Taylor, President Elect Bob Northcutt, Past President/Treasurer Martha Larson, Secretary Andrea Ratermann, Area 1 Rep Ted Tingley, Area 2 Rep Sarah Williams, Area 3 Rep Jason Mills, Area 5 Rep Marilyn Hopper, Area 6 Rep Holly Clauson

Meeting to Order was called by Dave Taylor at 6:35.

 

A motion to approve the September minutes was made by Marilyn Hopper seconded by Sarah Williams.  The motion passed.    

 

Treasurer Report – Martha Larson

No additional dues were collected in December. 

December Expenses:

Ameren Illinois: $ 13.35

DPT mowing: $2, 400

Playground Donations to date – $979

Sewer Committee Report – Dave Taylor

There is a couple to residents having sewer problems on Meadow.  These seem to be individual sewer lines and not the ones maintained by the association.  Dave says there are some products that can be used to help minimize the roots that get into the sewer lines.  Fees are increased for Test Inc to monitor the sewer fees.  There is a fee for the test and for the individual who comes in to collect the samples. 

Everything else seems to be running well. 

 

                 

Sewer’s report was approved on a motion Martha Larson by seconded by Jason Mills.

 

Burn Pile Committee –  

Steve has moved out of Meadowbrook.  We are looking for someone to manage and burn the pile on a regular basis. 

 

Old Business:

 

Dave is still working on securing a basketball hoop. 

 

No new donations received for the playground at this time.  Ideas were discussed on how to promote awareness for funding.  Look for information in with the sewer fee reminder!

 

We are going to restructure the beautification award committee and will continue this in 2016.
